Certificates are linked to each property so that management and auditors can clearly see how compliant each property is. Notifications are also sent to staff to inform them when certificates are due for renewal, reducing potential risks associated with non-conformance.
Council staff report defects and corrective actions direct from a mobile app. Maintenance staff view, update and close out work orders direct from their mobile device attaching any photos, as necessary. Play areas, open spaces and building inspections are also carried out from the mobile app helping the Council implement more efficient operations, reduce paper consumption and overall cost of operation.
PLANNED MAINTENANCE & INSPECTION SCHEDULES
Maintenance & Inspection schedules are set up against each asset type and automatically assigned to the appropriate staff. Inspectors and maintenance staff are notified when inspections are due ensuring all checks are carried out in line with safety standards. Defects are reported electronically. Supporting photos are taken and attached to the reported defect removing the need for staff to upload photos to separate inspection reports when back online.
Sub-Contractor permits to work are managed electronically by the council. No work order can be assigned to a contractor unless a valid permit to work has been received by the Council. Council staff can easily view and validate a permit to work prior to work orders being assigned to sub-contractors, ensuring the right contractors with the right skills are assigned to all work orders reducing potential safety risks arising from unqualified works personnel.
Import documents such as the latest Risk Assessments, Asbestos Management and PAT Testing Reports are linked to each relevant building so that staff can view when necessary at the touch of a button.
